There are many products and systems out there to choose from, most of which operate on different platforms and address various domains, very few in an integrated solution which effectively works.
When you begin considering an IT solution, do the following:
- Determine the needs of your organization, and make sure you listen to all of your potential users not only the Executives.
- Identify a project manager from your senior management from the very beginning.
- Create a spreadsheet of specific requirements for the suppliers you're considering. We can send you our list of fulfilled requirements if you will consider us in your tender.
- Demand to see the product in action, carry out extensive tests of data replication, measure performance, and evaluate the contained reports.
- Make a list of all possible reports you and your department heads may need. Ask the supplier to quote these from the very beginning.
- Verify suppliers' financial viability.
- Trust your feelings about the suppliers and their products and do not fall in the brand trap.
- Procurements, Manuals, Inventories, Maintenance, Equipments, Employee, Suppliers, all historical records: identify which information should be transferring back and forth from the finance system. Make sure that your supplier gets a proper input of all your organization’s forms, checklists, letterheads, and quality manuals which needs to be ported into the new solution. Ask supplier to evaluate the database construction or migration from your existing system.
- IT changes fast, so the supplier shall be fast to adapt to the changes. Try to find out if the supplier was able to maintain a stable growth in the last few years.
- Find out if the supplier is able to support your organization’s needs in a timely and efficient manner. How many software releases do they make every year? What about EBF (Emergency Bug Fixing)? We at Spec2Soft understand that in the maritime environment each customer has a unique business flow, a set of customizations and specific configurations. It is our standard practice to designate and assign to you a POC (Point Of Contact), a project manager who is familiar with your system in order to coordinate all support and bug fixing activities. Ask suppliers hard questions about their services including training (in site and off site).
- Last, do not forget to consider a budget for upgrading the hardware. Ask the supplier for the minimum HW requirements.
Take time to research the right system. It will pay off with more than just cost savings.
